Create a review routine that earns trust

Reviews are part of the conversation around your salon. A useful routine makes it easy for clients to share their experience and helps your team respond with care.

Ask for an honest experience

Choose a natural point after the visit to invite feedback. Keep the request short and optional. For example: “Thank you for visiting us. If you’d like to share your experience, you can leave a Google review here.” Let clients describe the visit in their own words.

Google prohibits incentives in exchange for reviews, including discounts or free services. Invite genuine feedback consistently rather than asking only people you expect to leave a positive rating. Do not ask staff, friends or people who have not used the service to pose as customers.

Make the link easy to use

Use the review link or QR code associated with the correct Business Profile. Test it on a phone before printing a counter card. If you operate multiple salons, label each card clearly so feedback reaches the right location.

A small sign at checkout or an appropriate follow-up can be enough. Avoid repeated pressure during the visit. The client should feel free to decline, and the quality of their service should never depend on whether they leave a review.

Respond like someone who listened

For positive feedback, acknowledge a detail the reviewer chose to share and thank them for visiting. Keep the reply natural; repeating a long list of keywords in every response can make a personal interaction feel automated.

For a difficult review, pause before replying. Acknowledge the concern, explain a useful next step and invite a private conversation when you need appointment details. Avoid sharing personal information, debating every sentence or promising a remedy before your team understands what happened.

A short response such as “Thank you for letting us know. We’d like to understand the visit and discuss it with you. Please contact our salon team directly” can open a conversation. Adapt the wording to the situation rather than copying it into every reply.

Bring recurring themes back to the team

Set aside a regular moment to review comments together. Look for repeated observations about waiting time, service explanations, appointment availability or the atmosphere. These are useful prompts for an operational conversation, even when the overall rating is strong.

  • Assign one person to monitor new feedback.
  • Agree who can respond and who handles follow-up.
  • Track recurring concerns without exposing client details.
  • Check whether changes address the issue over time.

Reviews should support a better experience, not become a score staff feel pressured to manufacture. A trustworthy routine connects the public conversation with what happens inside the salon.
